Topic of Discussion:

Briefing Notes at NRCan
We have created a briefing note wiki where you will begin to create a document based on your discussions around the following question:

How can we improve the briefing note process using collaborative technology?

Sub-questions (or categories):

  1. Can a briefing note be replaced by the use of one (or more) collaborative tools? Explain.
  2. What information could be developed collaboratively?
  3. What levels of approval are required and who has overall authority?
  4. What should the process be for creating content? Can content be shared in its entirety?
  5. How can people work collaboratively to create content?
  6. What issues and opportunities are important to consider?

This a brainstorming session where there is no right or wrong answer and there are always more questions than answers. Whatever product we end up with will be the result of informed leaders spending 20 minutes together talking about how they could use collaborative tools based on a brief demonstration of the possibilities.

Need to first identify who should be contacted and who has the lead.

OPen a discussion group on what are important information gaps, key points and considerations for the briefing note e.g. in order to sketch out the outline and content.

Need to inform participants on the purpose, intended audience, timelines etc.

Lead to integrate info into draft briefing note and invite feedback.

answer to question 1:

-can request experts input in real time

-would cut down time requirement - won't have to chase down people. All subject matter experts can provide info at the same time.

-save experts' time in drafting the note along with a coordinator - agree on the content together - immediate review, editing approval

-multiple approvals at the same time

-could provide annexes and supporting documentation

-can have a living briefing note - updated in real time

-can link to outside sources
